Event Booking Terms & Conditions

Before you submit a booking for an event, please read these conditions (“Conditions”). 

By accepting these Conditions as part of the event booking process, you are indicating your agreement to enter into a contract with CavefestUK 

  1. An “Event” means the event available for booking on the website or as advertised elsewhere. 
  2. “Fee” means the price of the Event as indicated during the booking process or as promoted in any marketing materials. 
  3.  Please review all of the information you have submitted or will submit in respect of your booking before you make a booking request. By submitting a booking request you confirm that all of the information you submit is accurate, true and complete. 
  4. By submitting your booking request you are offering to enter into a contract for attendance at the Event. 
  5. We reserve the right to reject any booking request we receive.  
    1. Acceptance of your booking and attendance at the event does not in any way guarantee you a place on any planned trip 
    2. Staff, Leaders and wardens will assess your suitability for the trip planned based on your previous experience as outlined by you in the briefing 
    3. By booking onto the trip you confirm that all information provided by you at the briefing is accurate, true and complete 
    4. Attendance at the briefing for trips is mandatory 
  6. CavefestUK reserves the right to refuse you attendance on any trip 
  7. Tickets to the event are transferable to other people who wish to attend on informing the CavefestUK team ahead of the event, but are not to be resold. 
  8. It is important that you report to the Site Reception on arrival to obtain your wristbands 
  9. Unless otherwise stated the refund policy for events is as follows:  
    1. Cancellation more than 6 weeks before the event: full refund 
    2. 4-2 weeks before the event: 50% of the fee refunded 
    3. less than 2 weeks before the event: no refund. 
    4. All places on Events are available on a first-come, first-served basis. 
  10. Events are subject to cancellation or rescheduling at our discretion. If the Event is cancelled in its entirety, we will credit any event fees paid to you as soon as possible. If the time, date, venue or content of the Event is changed subsequent to your booking, you will be notified and given the option to cancel your booking. We shall not be liable for any additional loss or damage resulting from such cancellation or changes. 
  11. We reserve the right to cancel, suspend or vary the operation of our contract with you if events occur which are outside of our reasonable control and we shall not be responsible for any breach of contract, nor for any loss or damage, resulting from such an event. 
  12. Any typographical, clerical or other similar accidental error or omission made by us in respect of your booking shall be subject to correction without any liability on our part. 
  13. Insurance 
    1. BCA Insurance is mandatory 
    2. Property left on site is done so at your own risk and CavefestUK or Ebborways farm shall not be responsible for any loss or damage 
    3. The event is licenced for the sale and consumption of alcohol under our TEN’s licence
  14. Photos & Videos will be taken across the event to be used for publicity and future marketing purposes, if you wish to be excluded from the publication of such, please inform a member of the team in writing. 
  15. Copyright and all other intellectual property rights shall remain the property of CaveFestUK. You agree not to reproduce, sell, hire or copy any materials (in whole or in part) and not to use such materials except for reference. 
  16. The event is being held on a campsite with other members of the public, respect and consideration must be made at all times. Actions or behaviour deemed inappropriate will be considered and CavefestUK and its representatives reserve the right to ask you to leave immediately. If you are asked to leave under these circumstances, no monies will be refunded. 
  17. As the person booking the event, you are responsible for the behaviour of all members of the party whilst on the Site. 
  18. Any wilful damage to the Site or any other CavefestUK or Ebborways Farm property will result in you being asked to immediately leave the Site. If you are asked to leave under these circumstances, no monies will be refunded. 
  19.  These Conditions and the booking process referenced in these Conditions constitute the entire agreement between Cavefestuk and you. In entering into these Conditions, you acknowledge that you have not relied upon any statement or representation from us save as set out in these Conditions or as stated in writing as part of the booking process.  
  20.  No term of any contract between us arising from these Conditions is intended to confer a benefit upon or be enforceable by any third party whether under the Contracts (Rights of Third Parties) Act 1999 or otherwise. 
  21. The language of any contract formed will be English. The Conditions shall be construed in accordance with English Law and you agree to submit to the exclusive jurisdiction of the English Courts. 
  22. We may change the terms upon which we make Events available from time to time without notice to you and any subsequent booking requests you may make will be subject to those changes.
